FOR PROCORE ADMINS Reviewing an install request

Oversite Reports and Procore:
what it does, and what it can't.

Status: in progress. The Procore integration is built and being tested in Procore's developer sandbox. It isn't available to customers yet, and we haven't set a launch date. This page describes how it works so your team can review it ahead of time.

Someone on one of your projects may ask to connect Oversite Reports to Procore. This page answers what a Procore administrator needs to know before approving it: what it writes, what it reads, whose permissions it uses, and how to switch it off.

In one paragraph

Oversite Reports is a field-reporting app used by subcontractors for daily reports, time & material tickets, toolbox talks, pre-task plans and safety forms. When a general contractor connects Procore, each sub's finished daily report is posted to that project's Daily Log as a Manpower entry (company, workers, hours, with the signed PDF attached), and the sub's other forms for that day are attached to that same entry. That is all it writes. Subcontractors never get access to your Procore.

What it does, and what it doesn't

One tool, one kind of record, on the projects you link.

✓ What Oversite does in Procore

  • Creates Manpower entries in the Daily Log of projects you link: one per subcontractor per day, with company, worker count and hours. If a sub's report is set to head count only, the entry carries the worker count with zero hours.
  • Attaches the signed PDF of each sub's daily report to its entry, plus that day's other forms (PTP, JHA, equipment checks).
  • Updates that same entry if the sub issues a revised report, instead of creating a duplicate.
  • Reads your company and project list, only so your user can pick which Procore project an Oversite job files to.
  • Reads the project's directory (its companies and their people), only to match the subcontractor to the right company on the Manpower entry.
  • Reads who connected (their Procore name and email), to show whose connection it is.

✕ What Oversite never does

  • Delete anything in Procore.
  • Touch other tools: budgets, commitments, change orders, drawings, RFIs, submittals, inspections, observations, photos or documents.
  • Add, remove or change users, companies or permissions.
  • Email or message your people from Procore.
  • Read other companies' or other projects' data.
  • Give subcontractors any login or access to your Procore.
  • Sell, share or use your data for advertising.

How the access works

Standard Procore sign-in (OAuth). No passwords change hands.

Whose permissions it usesThe Procore user who clicks Connect, usually your project manager or superintendent. Oversite can only do what that person can already do in Procore, and only in the Daily Log. If their access is removed, the connection stops working.
PasswordsOversite never sees or stores a Procore password. Your user signs in on Procore's own page, and Procore gives Oversite a revocable access token.
Which projectsOnly the projects your user links, one Oversite job to one Procore project. Nothing files to a project nobody has linked.
Who approves the appA Procore company administrator (Admin on the company-level Admin tool), once for the company. After that, users on your projects can connect their own jobs.
Cost to youNone. The general contractor side of Oversite is free. Subcontractors pay for their own subscriptions.

You stay in control

Visible, reversible, and optional at every step.

🔌 Disconnect any time

From Oversite (GC Projects → Procore → Disconnect), which also revokes the token with Procore, or from Procore's own App Management. Nothing already posted is removed. New documents just stop going to Procore.

✋ Approve before posting

Switch Oversite to "Let me OK each one first" and nothing is posted to Procore until someone on your team taps Send to Procore for that document.

👀 See every filing

Each document shows Sent to Procore, Pending or Needs attention, with a link that opens that day's Daily Log in Procore so you can check it arrived.

Security and data

Plain answers to the usual questions.

Procore tokensEncrypted at rest with AES-256-GCM. The key lives only in the server's protected environment settings, never in code or in the browser. Tokens are used only by Oversite's server; they are never sent to a phone or browser.
In transitAll traffic, between the app and Oversite and between Oversite and Procore, is HTTPS/TLS.
HostingOversite runs on Netlify's cloud platform. Sign-in is handled by Clerk, and payments by Stripe. Oversite never sees card numbers.
Who can see a sub's documentsThe sub's own company, and the general contractor people that sub sends them to (by project). GC staff only see the projects their GC admin assigns them.
Your Procore dataOversite stores only what it needs to file correctly: the Procore project and company IDs you linked, and the IDs of the entries it created, so it can update rather than duplicate. It does not copy your Procore data.
CertificationsOversite is a young company and does not hold a SOC 2 report today. We're glad to complete your security questionnaire and to walk your team through the setup on a call.

Approving it

About two minutes, once for your company.

  1. Your user requests it. When someone on your team clicks Connect in Oversite, Procore emails your company administrators an install request for Oversite Reports.
  2. You approve it from that email, or under Company Admin → App Management. If your company allows user installs, no approval step is needed.
  3. Your user links their project. In Oversite they pick which Procore project each job files to. Their subs' reports start arriving in the Daily Log.
Not sure yet? Approve it for a single pilot project and watch a week of Daily Log entries arrive. You can disconnect in one click if it isn't for you.

Questions admins ask

Does this give subcontractors access to our Procore?

No. Subcontractors use Oversite only. They never receive a Procore login, and nothing they do in Oversite grants them any Procore access. Their documents reach Procore through your own user's connection.

Can it change or delete our existing Daily Log entries?

It only creates Manpower entries for subcontractors, and later updates only those same entries (for example, when a sub issues a revised report). It never deletes, and it doesn't edit entries it didn't create.

What happens when the person who connected leaves the company?

The connection uses their Procore access. Once you deactivate them in Procore, filing stops until someone else on your team connects. Nothing already posted is affected.

Can we limit it to one project?

Yes. Oversite only files to projects your user links. Link one pilot project and nothing else is touched.

Where do we see what it posted?

In Procore, on the Daily Log for each date. In Oversite, every document shows its Procore status with a link straight to that Daily Log.

How do we remove it?

Disconnect from Oversite (which revokes the token), or uninstall from Procore App Management. Either one stops it immediately.

Who is Oversite?

Oversite Technologies, a small Florida company founded by Kenneth Chandler, a construction superintendent with 25 years on commercial job sites. It's built for field crews by someone who has done the paperwork himself.
